Project Scheduling Management

Project scheduling management will involve many activities like defining the dependencies of work packages, assigning resources, specifying start/end dates and defining milestones. Essentially, once you have set-up your WBS, you'll need to schedule your work packages and come up with a timeline.

It is important to note that changes (linking, delinking, calculation of duration, etc.) are shown only when you manually affect them by clicking on ‘Schedule Workpackages’ (under the Project menu in the top menu bar).

 

Link/De-link Work Packages

You might choose to link (set dependencies across) various work packages at the time of setting up the work packages or creating a WBS.

To link work packages (set predecessors):

  • Double-click the work package (for which you want to set a predecessor) in order to view its properties in the Business Object Editor (BOEditor).
  • Go to the Predecessors section of the properties.
  • Click the Add button. A list of work packages will be displayed.
  • Choose the work package that you want to assign as predecessor for this work package.
  • Click Ok to add the chosen work package as a predecessor. By default, the lag (time delay, after the completion of predecessor, to start this work package) will be set to 0.0.
  • Optional: Double-click the value of Lag to change the value as desired.

To de-link work packages (remove predecessors):

  • Select the work package whose predecessors you want to remove.
  • Select the specific predecessor that you want to remove.
  • Click the Unlink Workpackages icon (in the toolbar just below the top menu bar). The predecessor is removed and the work packages are unlinked.

OR

  • Double-click the work package (for which you want to unset a predecessor) in order to view its properties in the BOEditor
  • Go to the Predecessors section of the properties.
  • Select the specific predecessor that you want to remove.
  • Click the Remove button. The predecessor is removed and the work packages are unlinked.

 

Assign/Un-assign Resources (Teams/Roles/Persons) to Work Packages

To assign teams/roles/persons to work packages:

  • Double-click the work package (to which you want to assign resources) in order to view its properties in the BOEditor.
  • Go to the Resource section of the properties.
  • Click the Add button. A list of available resources will be displayed to you.
  • Choose the resource (team/role/person) that you want to assign to this work package.
  • Click Ok to add the assignment to the work package. By default, the assignment is 100%.
  • Optional: Double-click the value of Assignment to change its value as desired.

To un-assign resources:

  • Double-click the work package (for which you want to remove resources) in order to view its properties in the BOEditor.
  • Go to the Resource section of the properties.
  • Select the specific resource that you want to remove from the assignment.
  • Click the Remove button.
You can also assign resources by dragging and dropping the resources to the work packages in the Project Explorer.

 

Specify Start and Finish Dates for Work Packages

You will have already specified the effort/cost for the work package while creating the WBS. However, you will typically specify the start and finish dates at the time of scheduling the project. Note that for effort-driven work packages, you will be specifying only the effort and resource assignments. The duration will be calculated only when you click ‘Schedule Workpackages’ in the Project item in the top menu bar.

To specify start/finish dates:

  • Select the project in the Project Explorer.
  • Open the BOEditor and go to the WBS section of the properties.
  • Double-click the start/finish date cell (of the table) for the work package whose start and finish dates you need to specify/modify.
  • Click the small icon (with 3 dots ‘...’) in order to open the calendar.
  • Select the required date to set the start/finish date for the work package.
One of the easiest ways to schedule work packages is to move them around in the Gantt chart views. You can change start/finish dates, link/unlink work packages or even access/change the properties of work packages.
When a user moves around a work package using the Gantt chart, this work package will be set to the "Manual" type irrespective of its original project type setup. When the user then starts the scheduling, the manually set dates will never be "overridden".
"Deactivated" work packages will be handled like tasks with duration of null hours. Example: wp1-wp2-wp3; when wp2 is deactivated, the relation will still exist (so wp1 will be before wp3), but the duration of wp2 will be null.

 

Work with Milestones

Adding milestones has already been discussed previously in this manual.

To assign a milestone to a work package:

  • Double-click the work package (for which you want to assign milestones) in order to view its properties in the BOEditor.
  • Go to the plan section of the properties.
  • Click the icon ‘unset’ against the label Milestone.
  • Select the milestone from the list of displayed milestones in order to assign milestone to the work package.
By adding milestones to work packages, you are ensuring that you know what all work packages are to be completed in order to say that a particular milestone is reached.
